How to Renew a Unit

Scouting America now renews units annually. Key 3 leaders can access unit renewal in my.Scouting.org beginning two months before the unit’s expiration date. The renewal must be submitted and paid before the deadline to avoid disruptions in access or program delivery.


Step 1: A Unit Key 3 Member Logs in to my.Scouting

  • Visit my.Scouting.org and log in using your account credentials.
  • Navigate to Organization Manager → Unit Renewal.

  • *Scout Life Subscription will be selected by default. If you have members who do not want to subscribe, you will need to uncheck the box.

  • If you serve on multiple units, make sure the correct one is selected.

If you’ve never logged in before, you’ll need your Scouting America Member ID, which can be found:

  • In renewal reminder emails

  • From your unit leader or committee chair


Step 2: Validate Your Unit

  • The system will automatically run a validation check when you access Unit Renewal.

  • Resolve all errors before proceeding:

    • Required leader positions are missing or incorrect

    • Expired leaders (gray = expired, blue = current)

    • Incomplete Safeguarding Youth Training

    • Youth age/grade mismatches

  • If needed, use Position Manager to update leaders.

**Changes may take up to 24 hours to take effect.


Step 3: Verify Key Leaders

  • Confirm correct individuals are assigned as:
    • Chartered Organization Representative (COR)
    • Committee Chair
    • Unit Leader (Cubmaster, Scoutmaster, etc.)
  • These roles must meet training and compliance requirements, including:
    • Valid Safeguarding Youth Training
    • California AB506 compliance (Mandated Reporter + Livescan)
    • *ALL Direct Contact leaders (Cubmaster, Assist. Cubmaster, Scoutmaster, Assist Scoutmaster & Den Leaders) have their Leader Specific Training, which includes Hazardous Weather Training.*Any adult that has not taken these trainings will not be able to renew with the unit.

Step 4: E-Sign and Review Unit Pin

  • E-sign the renewal to confirm accuracy and compliance.
  • Review your Unit Pin settings (this controls your unit's visibility on BeAScout.org):
    • Ensure required fields are filled out if “Appear on BeAScout” is selected.

Step 5: Continue to Payment

  • Click Continue to Unit Renewal.
  • Review the summary and select your payment method:
    • Pay online via credit card or ACH
    • Select Pay at Council Office to generate a summary PDF and pay in person

Step 6: Finalize and Submit

  • After payment, your unit status will be updated to 'Pending Council Approval'.
  • If paying in-office, submit the signed Unit Renewal Document to VCC.
