Membership Renewals 2024-2025

 

INDIVIDUAL REGISTRATION - RENEWAL

There are 3 options for individuals to renew their Scouting membereship:

*OPTION 1: INDIVIDUAL RENEW REGISTATION

Beginning 60 days before the individual expiration date, individuals will receive an email from the National Council that will prompt them to renew their registration.

  • Click on the link in the email that will direct indiciduals to my.scouting.org to renew the registration. You can also go to my.scouting.org and click the red notificaton button on the top right-hand corner.
  • You will have a choice to renew and pay online or your unit can select to renew your registration.

Important info:

  • Parents will have to create a my.scouting.org account if they do not have one already. 
  • For parents with multiple Scouts, they will only need to create one account as my.scouting.org has already linked thier Memeber ID with all of their children. If parents discover this has not happened, contact the Ventura County Council at Vangie.Sexton@Scouting.org or 805-482-8938.

 

*OPTION 2: UNIT RENEWS INDIVIDUAL

  • A member of the unit’s Key 3 logs into my.scouting.org and click on Organization Manager then Roster.
  • The unit Key 3 selects members who are eligible to renew, then click on Renew in the header bar.
  • Scout Life subscription will be selected by default. If members who do not want to subscribe, uncheck the box.
  • There will be a summary page showing totals and direct the unit to pay. Please note: there is an ACH Payment fee of $1.00 or a Credit Card fee of 3%. There should be an option to print a receipt and pay at council with a check or cash. If the "pay at council" option is not visable, units will need to use option 3.

  • If your unit is not set to "Auto Approve" then you will need to go back to "Roster" and click the "Membership Renewal Orders" and find any member renewals that are awaiting approval.

 

*OPTION 3: VENTURA COUNTY COUNCIL RENEWS INDIVIDUAL

This method allows individual participants or the unit to bring payment for indiciduals to our council office.

  • For individuals to renew: Submit payment to the Ventura County Council in person using check or cash.
  • For units to renew individuals: Submit a list of members you wish to renew signed by your unit Committe Chair or Charter Org representative and turn in payment and the signed form to VCC in person or by mail.

Important info:

  • Units can only renew members beginning 2 months before their expiration.
  • Units can also opt-out a member from renewing is they have left the unit. This will remove them from the roster.
  • You can also see a person's multiple registrations by clicking, "SHOW MULTIPLE REGISTRATIONS." 
  • Remember, all renewals are for 12 months and begin the day after the expiration date of the current registration.

 Unit Member Renewal – (formally known as Recharter Process)

NOTE: The renewal period for membership begins two months before the expiration date.

  • The Unit Key 3 can process renewals on behalf of members of their unit.
  • Unit Renewal (Recharter Fee) of $100 is now separate from the  Unit Member Renewal (Recharter process).

*You must first pay the $100 Unit Renewal Fee:

  1. Login at my.scouting.org and go to Organization Manager
  2. This process only renews the unit, not any of the members.
  3. Click on “Unit Renewal”
  4. Validate information – this will show if there are any issues before going forward. Most common issues are - Leaders do not have current Youth Protection Training (YPT).
  5. Once there are no validation errors, sign by entering your name approving the leadership for renewal and then click the “Payment” button.
  6. Have a credit card or ACH information handy to pay the Unit Recharter fee ($100.00) Or pay at Council – Cash or check payable to: VCC BSA
  7. Once paid you will see a recap of the fees and be prompted to “Go to Confirmation”.
  8. Email confirmation will be sent

*Unit Member Renewal

  • my.scouting.org>Organization Manager>Roster.
  • OPT out who is not returning to the unit.
  • Select the member(s) you want to renew, then click “Renew”
  • You can see a person’s multiple registrations for this unit only by selecting “Show Multiple Registrations.”
  • To go back for any reason, select “Back to roster.”

*Scout Life Subscription will be selected by default. If you have members who do not want to subscribe, you will need to uncheck the box.

*To pay at Council, select “Print” and then “Unit Payment of Membership Renewal.”  This will produce a Summary of Fees PDF document to be taken to the local council to submit payment for the renewal.

*Pay by Credit Card (ONLY ONLINE):

  • To Continue with the renewal, Select “Create Renewal Orders.” (bottom right corner)
  • A payment Summary page displays a recap of what will be paid. If this is the first time setting up your credit card or ACH (e-check) payment where your bank is on file, you will be presented with the option to set it up.The ACH Payment admin fee is $1.00; the Credit Card admin fee is 3%.

Renewals will be created and will be displayed under Membership Renewal orders to be reviewed. If the renewals are still in an initiated status, you are able to delete the record from the screen if needed. If it’s in Submitted or Completed status, then this cannot be deleted at this point.

  • Review the Unit Orders and the Unit Orders by Batch.
  • Select “Go to Payment.”
  • After paying electronically, a payment summary will display. Select “Print Receipt” on the left and then “Complete Registration” on the right.
